Exporting your data

Download a copy of your records to keep, to hand to your accountant, or for your ATO record-keeping.

You export from Settings → Account, under Export Your Data. What you can download depends on your role.

Full organisation export (owners and admins)

Owners and admins can download a complete copy of the organisation's records as a single ZIP file. It contains CSV files for:

  • Customers
  • Invoices
  • Expenses
  • Quotes
  • Recurring items
  • Products
  • Chart of accounts
  • Your organisation settings

The ZIP also includes your receipt files, and a rendered PDF of every invoice (this is optional and turned on by default). Including invoice PDFs makes the download larger, so you can untick it if you are on mobile data.

How to export

  1. Go to Settings → Account and find Export Your Data.
  2. Choose a Period: All time, or a single financial year (1 July to 30 June).
  3. Tick or untick Include invoice PDFs.
  4. Click Download Export.

The download uses a one-time link. If your export would be very large, FairBooks lets you know so you can narrow it down by financial year first.

Personal export (members)

If you are a member, you can download a copy of your own personal data: your profile, your organisation memberships, and a log of your activity. Business records such as invoices, expenses, and customers belong to the organisation, so ask an owner or admin if you need a full export.

To do this, go to Settings → Account and click Download My Data.

After you cancel

If your subscription is cancelled, your data stays available to export for 12 months. Download a full export before that window closes if you want to keep a copy.

Tip

The ATO requires most business records to be kept for at least five years. A regular export is a simple way to keep your own copy. See Data and record keeping.
