Recurring Invoices¶
Set up a template that generates invoices on a schedule for customers you bill regularly.
A recurring invoice is a template, not an invoice itself. On each due date FairBooks creates a new invoice from it. By default those invoices are created as drafts so you can review them before sending, but you can turn on auto-send to have them sent automatically.
Setting up a template¶
- Go to Recurring Invoices in the sidebar.
- Click New Recurring Invoice.
- Give the template a Name (required), so you can recognise it in the list.
- Select a Customer.
- Add your line items.
- Set the Frequency and interval (see below).
- Set a Start Date, and optionally an End Date.
- Optionally add Notes to appear on each generated invoice.
- Choose whether to auto-send the generated invoices.
Frequency¶
Pick how often to bill, and an "every N" interval to space it out:
- daily
- weekly
- fortnightly
- monthly
- quarterly
- yearly
For example, a frequency of weekly with an interval of 2 bills every two weeks, and monthly with an interval of 1 bills once a month.
Drafts or auto-send¶
- With auto-send off (the default), each new invoice is created as a draft and waits in your Invoices list for you to review and send.
- With auto-send on, each new invoice is sent to the customer automatically as it is generated.
Managing a template¶
- Pause: temporarily stop generating invoices.
- Resume: restart a paused template.
- Edit: update the name, line items, frequency, or customer.
- Delete: remove the template.
You can also see how many invoices a template has generated and open the list of those invoices from the template.
Start, end, and catch-up¶
- The template begins generating on its start date.
- If it misses any scheduled dates, for example because it was paused, it catches up by generating one invoice per missed period.
- When a template reaches its end date it is marked Completed and stops generating. A completed template cannot be paused or resumed.
Note
Invoices that have already been generated are separate from the template. Editing or deleting the template does not change invoices it has already created.
